Groups: Correspondence Items by parallellogic Groups: Correspondence Items by parallellogic
:pointl: Next

This is an inside look at how groups function, mostly to answer questions by users who don't know what features will be included or how they will function.

-.- There are probably some pretty gruesome typos in here, I haven't proof-read this just yet, please feel free to point out any you see.

I implore you to ask questions, the more you ask, the more detailed and the more useful I can make this :)

FAQ:
>> The number of users who can participate in a group (submit art, blogs, favs, etc) is unlimited, even for unsubscribed groups. You do not have to join the group (become a groupie) in order to participate. There is currently a limit of 100 groupies for any unsubscribed group.
>> Correspondence Items, when closed, are removed from the group message center. The system tries to reduce clutter, thus the messages can be seen in the group log if needed for reference purposes
>> Only 2 groups appear in the collections drop down at this time
>> Tips and tricks for changing the search results while searching for artwork to submit to a group can be found here: [link] , "gallery:username" for normal stuff and "gallery:username/*" for everything including scraps =Pyritie
>> There is nowhere where you can currently get a group during this alpha testing phase, you have to be hand chosen by an admin to receive one

Questions and Comments greatly encouraged :)

Hi, I'm a beginner in Deviantart. Since I am new to this, can you help me? My drawing received a corresponding invitation to be posted on an artist group gallery. And even though I understand the gist of it and it sounds like a very good thing, i'm still not so sure (maybe because it sounds a bit too good?) . Is there any down side to accepting this request?

There isn't much to it.  I'd make sure that your artwork is relevant to the group.  Some groups use bots to send out massive numbers of requests (in order to become popular) at which point it's worthless to have your art featured in the group.  In that case the only downside is that you're featuring the group's avatar next to your artwork (DA lists the groups your artwork is featured in) giving the group more exposure for nothing.  If the group is relevant to your artwork then no ahead and accept - if there are active users in the group they are likely to comment/fav your art.

How do I make my group better known?

That is an excellent question and I don't have an answer for you.  Most groups are abandoned shortly after they are created.

I hope this question is not yet being asked.

I'm one of the admin of a group. The other admins had sent an invitation and request to some dA artists. So the correspondence items that I received are plenty. So, I was wondering if I delete these correspondence items, will the other admins know about it?

If you click the "x" at the top right of a Correspondence Item, no one will be notified.  That action simply removes the message from your inbox, nothing else.

Hello there. I was wondering if you know how to change the admin's names in the groups. EX: changing the founder to a headmaster, or changing the co-founder name to assistannts, ect.

A group needs to be super to change the admin titles.  Under the Admin Area under Manage Members I believe a pencil icon should appear when you roll over the admin titles on the left which will allow you to rename them.  I don't have a super group, so I can't confirm that, but from memory I believe that is the procedure.

What does it mean when you push 'YES' on a Correspondence Message but a window pops up & says 'The target folder is over it's size limit' bc this keeps happening to me.

Groups are only allowed to have 5000 or so deviations in any given folder. If they send you an invite to submit an artwork to a folder that is already full, then you get that error when you try to accept the invite. The group needs to add a new folder for you to submit to

Which group was this from btw?

So what does it mean when I get a message saying "somebody has requested my permission to submit something to a group gallery"? What exactly does this do?

If you say 'yes' your work gets submitted to that group

Thank you so much for putting this up, it's much appreciated!
I have a question and I'm hoping this hasn't been asked umpteen times (if so, my sincere apologies!) - if I receive an invitation to join a group as a member, and I click the 'x' button to close it, without clicking either 'yes' or 'no', does it tell the group admins that I've declined to join?
Reply
:iconparallellogic:
parallellogic Featured By Owner Apr 1, 2012
No, the Correspondence Item is left unanswered and eventually expires. The admins aren't specifically notified of any action you take on the action item (they don't receive a notification in their message enter or anything like that), but they can check the logs to see if the item is: approved, denied, expired or awaiting action. From personal experience, groups are very much an exercise in large numbers, so any specific invitation isn't that important unless you've talked with the admins in the group in order to get in.

The more common problem is that when a user receives an invite (or other CO), they may accidentally delete it, after which there is no way to access the pending (still open) invite through the standard dA interface (if you save the link, you can still access it and vote however). Removing an invite from your message center does nothing more than remove the notification, it has no action on the invite itself.

if i delete a correspondence message that is in approval stage, will it delete my request?

No it will not. The only way for you to cancel a Correspondence Item to a group you do not control is by clicking "Withdraw" on the Correspondence Item. After the item is gone, you lose control of the CO, so it is either denied/times out or it is accepted - in the latter case, you will need to select the deviation in your gallery, edit it, and remove the group from the list of groups your work appears - that is if you were looking to cancel/undo your original action.

If you get a Correspondence Item and it says it's in the approval stage, then that means the group has set up membership applications to only be accepted once the group approves them. Groups approve membership applications by vote, but that may be one vote or five... it varies from group to group (most groups have automatic acceptance for membership applications, so you're normally a member of the group the moment you apply). The admins in the group need to vote for your membership to be approved or denied. If not enough mods in the group vote, then your membership request will eventually expire without being decided one way or another. The maximum time that a membership request can go unanswered is one month. Thus within one month you will know whether your membership request was approved, denied or was not finalized and thus expired. Other than that, it just depends on the group. The group may list on their blogs how long it will take, but that's fairly uncommon.

These tutorials of yours are pretty helpful. :)

I am not sure if you want us to ask questions in the comments or not, but...
Are the 'sub-folders' only for the super groups (paying groups)?

:iconparallellogic:

:) Thanks

To the best of my knowledge, that is correct. I don't own any subbed groups, and I don't see a way to add sub folders in the groups I'm in that are subbed (where I'm a lower admin and likely don't have those privs)

So I've been trying to work with my group, and I can't enable some features. I am trying to allow people to join my group, but when someone tries to join they only have the option to join as a co-founder or contributor. How would I be able to allow people to join as a member? Also, how to I allow all my members to submit artwork to the group?

You seem to be in charge of groups ;)
I had a DA for my dolling magazine :iconpxtmagazine: but I didn't know I could turn it into a group. Actually I don't know if I could, it wasn't an actual club. So I created an actual group :iconpxt-magazine: I've got the group set up perfectly but everyone's links are set to :iconpxtmagazine:. Also, all the magazine's watchers are on there. Is there a way to merge to 2, or rather overwrite :iconpxtmagazine: with :iconpxt-magazine: but keep the watchers. Ya know? If this isn't the right place to ask, can you direct me? ^_^

~You seem to be in charge of groups ;)
:) Well, knowledgeable about, not really in charge of, I'm part of the debugging team on #devBUG

There is no way to merge accounts at this time, the two accounts are distinct entities. Personally, I would suggest letting the #PxT-Magazine account go inactive and convert the ~PxTMagazine when you have the opportunity. In any case, that would allow you to keep the watchers and submissions from the club when you begin using the groups systems. I believe the development staff will eventually look into designing a deactivation function for group accounts much like for personal accounts at which time I would suggest you deactivate the #PxT-Magazine account to avoid confusion. Until then, I would suggest upgrading the club to a group and maintaining the group's operations through the same account as before
